Start with the walk-through, not the officer count

Officer count is the last question, not the first. A proper plan starts with a venue walk-through: entry points, back-of-house, coat check, bar footprint, VIP flow, and where the guest of honor arrives. Every event has a rhythm, and the plan follows that rhythm.

For a 200-person wedding at a downtown Minneapolis venue, that walk-through usually surfaces two or three access points that need staffing at arrival and different ones at close. A flat number like 'two guards' rarely maps to the actual event.

Match tone to the room

A gala calls for a different presence than a music festival. Corporate receptions want officers who look like part of the hospitality team. Ticketed public events want visibility. Ask your provider how they staff for tone, not just for headcount.

Plan for the last thirty minutes

Most incidents happen during breakdown, not during the main event. Alcohol has been flowing, staff is tired, and guests linger in the parking lot. A good plan carries coverage past the official end time so the last car leaves without incident.

Write it down

The single biggest difference between a smooth event and a chaotic one is a written post plan. Every officer should know their position, their radio channel, who to escalate to, and what the emergency protocol is before the first guest arrives. If your security provider does not produce one, ask why.
